388.3 Travel Reservations

 

A. Background

There are many activities on campus that require travel reservations for airlines, hotels, and rental cars. It is expected that by centralizing this activity, a convenient means of making reservations for travelers and cost savings in travel will be experienced.

 

B. Policy

All airline travel reservations should be made through the designated travel agency named by the Director of Administrative Services.

 

C. Guidelines

1. The designated travel agency is to be used by the Furman traveler and may be used to secure airline fares when preparing travel budgets.

2. Travelers should plan trips as far in advance as possible in order to take advantage of lowest fares.

3. When calling the designated travel agency, the traveler should be prepared to give the agent the travel voucher number and budget number. These numbers are obtained in the upper right corner of the approved travel request form.

4. Travel arrangements not booked through the designated travel agency must be approved by the Director of Administrative Services. Justification for the exception request should be based on services rendered and lower travel costs.

5. If desired, the designated travel agency will provide the traveler with the convenience of making hotel and car rental reservations.
