183.1 Changing Term Grades by Instructor

A. Background

A term grade should be an accurate indication, carefully determined, of a student's performance in a course. Once the grade is recorded, the faculty member should not be subjected to any undue pressures to change the grade.

B. Policy

If, and only if, a mistake was made in determining or recording a term grade, the instructor of the course may change the grade. Only the instructor may change a grade except when the appeals process specified in File 183.2, results in a recommendation for an administrative grade change.

C. Guidelines

1. A faculty member seeking to change a student's term grade because of a mistake should request the change on the appropriate form, which may be obtained from the office of the Vice President for Academic Affairs and Dean.

2. The Vice President for Academic Affairs and Dean shall approve or disapprove change-of-grade requests. If approved, the requests will be sent to the Associate Dean and University Registrar with instructions to make the necessary corrections on the official record.

3. Change of the temporary grade I to a permanent grade may be made by written notice from the faculty member to the Associate Dean and University Registrar. Such a change must be made no later than the middle of the term following the term in which the I was assigned. The only exceptions are laboratory courses, independent study or research courses, or cases in which determination of academic dishonesty is pending. For laboratory courses the grade of I must be changed before the end of the next term in which the course is offered. For independent study and research courses, the grade of I must be changed before the middle of the second term following the term in which the I was assigned. The grade of I given when academic dishonesty is in question will be changed whenever the case is resolved. In case an I is not changed by the time indicated, it becomes an F in accordance with University practice as indicated in the college catalogue.
